Creator Campaign Purchase Orders: Match the Asset Schedule

“Influencer campaign” is a poor purchase-order line when the order contains videos, creator posts and usage rights. Finance and production need enough shared detail to recognize the same purchase.

Identify the buyer and the supplier before the asset count

Confirm the entity commissioning the work and the supplier that will invoice it. A creator name on a shortlist may differ from the contracting business. Route that question through the actual procurement contact rather than copying a familiar brand name into every field.

Ask whether the buyer requires a purchase order, a reference number, an approved supplier record or another process before work starts. Follow the buyer’s stated instructions. This page does not establish that a purchase order is mandatory for every campaign or automatically resolves every contractual question.

Use the creator agency fee comparison to examine quotes first. Once a scope is accepted, the purchase record should identify that scope without forcing finance to interpret a creative pitch.

Attach the asset schedule instead of compressing it away

Give each deliverable an ID and a recognizable description. Distinguish a produced master, an alternate opening, a creator-account post and a licence for an agreed use. They may be connected, but one completed file does not necessarily satisfy every line.

Include the accepted brief version and where the full schedule lives. If the buyer’s system permits only a short order description, keep a stable reference to the approved attachment. Do not place sensitive recipient or account information in a document with wider access than intended.

Keep rights, territories and terms in the accepted agreement. A shorthand order line should point to them, not quietly enlarge the permission because someone wrote “all content” in a field.

Make the handoff legible to both teams

The mapping below is a proposed structure, not a universal purchase-order template. Use the buyer’s actual process and have its responsible owner confirm which references must appear where.

An approved order authorizes defined work under its terms. It does not establish that work was delivered or that the campaign achieved its target.

Name who can change the commission

Creators often receive requests from product, brand and performance teams. Specify which contact can authorize an addition and which reviewer can accept a file. A helpful suggestion in a review thread should not silently become additional commissioned work.

When the buyer requests a new platform version, a different spokesperson or an extra publishing date, record the change against the accepted schedule. Ask procurement whether its order also needs an amendment. Do not guess that the original spending approval covers every later request.

The creator brief carries the production detail. Keep it synchronized with the accepted order while preserving earlier versions for a clear explanation of what changed.

Treat invoice receipt and content acceptance separately

Coca-Cola’s public supplier instructions provide a concrete example: they ask for specified invoice references and distinguish receipt by the invoicing system from other parts of the supplier process. Those are that company’s requirements, not a claim that it is a 3betmedia client or that every buyer works the same way.

Ask the actual buyer how it confirms invoice receipt and who handles a mismatch. Keep that administrative acknowledgement separate from the reviewer’s acceptance of the creator assets. A delivery report cannot establish that finance received an invoice, and an invoice acknowledgement cannot approve the content.

Similarly, keep commercial targets separate from purchased units. Ten agreed creator posts are a delivery obligation. A proposed registration or deposit target is another part of the campaign plan and needs its own definition and evidence.

A fictional order has one missing variation

A buyer orders a product video, two alternate openings and one creator post. At closeout it receives the master, one alternate and the published post. The second alternate is still awaiting review.

The teams identify the outstanding asset by its schedule ID and follow the agreed acceptance and invoicing process. They do not count the live post twice to make the asset total match, or use good viewing numbers as a substitute for the missing variation. This is an invented procurement example with no implied fee or payment remedy.

Bring the buyer’s requirements and asset schedule to a KOL campaign commissioning call. Agree the references before production so the eventual closeout describes the work that was actually ordered.

Frequently asked questions

Does every creator campaign require a purchase order?

Follow the actual buyer’s procurement process. This guide does not establish a universal requirement or replace an agreement.

Should a purchase order promise campaign conversions?

Keep the purchased work recognizable. If an agreement includes outcome-based terms, define and review them separately rather than turning an undefined target into an asset quantity.

Does an invoice acknowledgement prove the videos were accepted?

No. Keep invoice submission, administrative receipt, content acceptance and payment as separate records under the actual process.

The order-to-asset mapping and fictional invoice example are original procurement aids. Coca-Cola’s public supplier guide illustrates one buyer’s reference requirements only. It is not a 3betmedia customer claim, universal invoicing rule, legal template or procurement-system implementation offer.
