Write the reporting question first
Identify the decision the review must support. You might need to confirm a creator’s accepted publication, compare a dated viewing window or understand a client-supplied aggregate outcome. Those tasks do not require the same account information.
List the needed fields, period and source. Ask whether an authorized extract, screenshot with sufficient context or existing report can answer the question. Preserve definitions and extraction time so a reduced dataset remains interpretable.
The campaign report design guide sets the structure. Access should follow that structure rather than determine what the team decides to measure.
Distinguish viewing from changing
A reporting role should not silently become authority to publish, alter links, approve commissions or change a financial record. Name any requested action separately and route it to the account owner’s actual approval process.
YouTube documents different channel roles, including viewer roles with different revenue-data access. Review the current role and supported actions for the actual platform. A label such as viewer does not mean the same thing in every system.
Do not request shared passwords or recovery details as a shortcut. If the account owner cannot provide an appropriate supported role, discuss an authorized reporting extract rather than improvise broader control.
Prepare an access request the owner can assess
- Purpose: the report and decision this input supports.
- Scope: named account, relevant assets, fields and reporting dates.
- Recipient: the person or approved team that needs the input.
- Capability: viewing, export or a separately authorized action.
- Duration: when the task ends and who reviews continuing access.
- Handling: where the approved report lives and who may receive it.
Keep the request specific. “Analytics access for the agency” leaves the owner to guess at accounts, commercial data and duration. A short purpose statement is easier to review and easier to close later.

Keep unnecessary private records out of the campaign pack
A creator audience report and an operator’s player database are different materials. Use the player-data reporting boundaries when aggregate acquisition evidence enters the discussion. Customer identity and verification files are not routine creator-review inputs.
Likewise, a channel owner’s unrelated revenue or other clients’ campaign details may exceed the question. Ask the owner which permitted fields and role can support the actual commission.
Record a limitation if the source cannot supply the requested breakdown. Missing access is not proof of zero activity, and an unavailable field should not become an invented estimate.
An illustrative review uses an extract instead of account control
A fictional campaign reviewer needs dated observations for two commissioned videos. The account owner supplies an authorized report with the video identities, metric definitions and window. The task does not need publishing or payment authority.
The reviewer checks the extract against the stated question and notes which observations it cannot support. If a new question later requires another field, the team makes a separate scoped request instead of treating the first handoff as continuing blanket permission.
This is an invented access decision. It grants no real role, certifies no privacy compliance and claims no campaign result.
Close the access task with the report
Record the accepted source, extraction date and any continuing dependency. Ask the responsible owner to review time-limited access when the task ends. The campaign team should not claim that it revoked a role unless the actual account state confirms it.
Keep the report’s evidence limits visible. A source extract can support a dated observation without establishing causation or every aspect of customer eligibility.
Bring the question and account-owner constraints to the creator campaign reporting scope discussion. Define an evidence handoff the owner can understand and the reviewer can use.
Frequently asked questions
Does a creator reporting task require account passwords?
Use an appropriate authorized input or supported role. Shared passwords and recovery credentials are not a routine reporting requirement.
Does a viewer role grant the same data access on every platform?
No. Check the actual platform’s current role definitions and supported actions, including any commercial-data limits.
Should unavailable reporting fields be entered as zero?
No. Retain the missing-data status and state which conclusion the available evidence cannot support.

The access-request record and fictional reviewer example are original operational recommendations. YouTube’s current role documentation supports platform-specific permission distinctions only.
