Give finance a reconciliation, not a chat export
Start with the accepted agreement and asset schedule. Identify the commissioning party, creator or contracting supplier, promised token units and the work connected to each payment milestone. Keep a change record when those inputs differ from the original order.
The token-paid creator deal terms guide addresses the commercial allocation, vesting and disclosure questions. The finance handoff comes after that decision: another person must be able to trace what happened without reconstructing the campaign from scattered messages.
A delivery approval is not proof that a transfer occurred. A transaction reference is not proof that the creator completed the required work. Preserve both and connect them through a named milestone.
Keep four states visibly different
Separate a promised allocation, work accepted, payment authorized and payment observed. A team can accept a creator’s first video while the agreed token transfer remains pending. It can also transfer a deposit before the final recording exists.
Record the actual dates and responsible owners for those events. Do not relabel the date of a content approval as a payment date to make the rows align. An unlock schedule describes another set of conditions and should remain attached to the original arrangement.
Ask finance which evidence it needs and who resolves differences. Campaign staff can supply delivery facts and retained records; they should not select tax treatment, a recognition date or a valuation policy because a reporting sheet has an empty cell.
Use one milestone row with linked evidence
The record below is a proposed handoff structure. Adapt its fields with the responsible finance owner rather than treating it as an accounting system or a statutory form.
| Record | Campaign evidence | Separate finance question |
|---|---|---|
| Milestone | Accepted asset IDs, versions, live URLs and reviewer | Which obligation does this satisfy? |
| Token promise | Units, confirmed token identity and applicable schedule | How should the arrangement be recorded? |
| Payment decision | Actual authorization and agreed recipient route | Who may approve the transfer? |
| Observed transfer | Retained transaction reference, time and units | Does the evidence reconcile to the obligation? |
| Value input | Requested source observation with its timestamp | Which date and method are appropriate? |
Retain an unresolved status where the record is incomplete. A blank exchange price should not become zero, and an estimated value should not become a confirmed payment amount.

Do not choose valuation rules from a campaign dashboard
The IRS’s US digital-asset guidance tells taxpayers to retain transaction and value records. It is a primary example of why payment evidence can matter beyond marketing. It does not settle the treatment of every issuer, contractor, country or token arrangement.
If finance asks for a market observation, keep the source, timestamp, currency and token identity. Distinguish that observation from a contractual price or an adviser’s selected value. A similarly named token, thin market or unavailable price needs a question, not an improvised number.
Vesting, restrictions and changed token terms can affect the questions advisers need to examine. Send the actual arrangement to qualified finance and tax reviewers. Do not apply a competitor’s tax summary or another project’s treatment to the creator’s record.
Separate the public delivery pack from restricted payment material
The creator delivery report can contain approved assets and publication evidence. Payment contacts, recipient verification and financial records belong with the authorized team that needs them. Avoid copying the entire payment pack into a broadly shared creator review folder.
Verify recipient instructions through a trusted route before the responsible payment owner acts. A message containing a replacement address is a change to review, not authority by itself. This article does not authorize or perform a transfer.
Never request seed phrases, private keys or account recovery credentials. A campaign reconciliation needs evidence of an authorized payment process, not control over a creator’s wallet.
A fictional closeout leaves a payment question open
Imagine a creator completes two accepted posts under a unit-based agreement. The campaign record shows those URLs and approval dates. The payment record contains one transfer reference, while the second milestone has only a request awaiting authorization.
The handoff marks the work accepted and the second transfer unconfirmed. It asks the finance owner to reconcile the outstanding item. It does not mark the whole campaign unpaid, infer that an allocation was received or invent a value for the missing record. This is an illustrative closeout, not a client result.
Bring the accepted asset schedule and finance requirements to the crypto KOL campaign scope discussion. Agree how evidence will travel before the first deliverable creates a payment decision.
Frequently asked questions
Does a blockchain transfer prove that a creator fulfilled the brief?
No. Connect payment evidence with separately accepted deliverables. Each record answers a different question.
Can the campaign team choose the tax value of a token payment?
It should supply requested source observations and the actual arrangement to the responsible reviewers. This guide does not choose a valuation policy or tax treatment.
Should wallet recovery information be included in the handoff?
No. Keep seed phrases, private keys and recovery credentials out of campaign records. Use the authorized payment owner and an appropriate recipient-verification process.
